How do I create a serie of events?
A series (or set) of activities can be created for two reasons. Firstly, to create an entire series of activities at once for a longer period, making it easy to fill, for example, half a year. This could be used for a swimming lesson or fitness class that always takes place on the same day/time. Another reason to create a series is when a course consists of multiple days.
Both are series but reserved differently. You might want to create a fitness class as a series but allow it to be booked per individual session, whereas a multi-day course, possibly with an exam, should be bookable as a complete set. This is, of course, possible.
To create a series of activities, first create a single activity.
Once the single activity is fully configured (name, description, image, status, etc.), you will find a 'create recurring activity' button in the action menu on the activity’s dashboard.
Next, choose whether the activity should recur daily, weekly, monthly, or yearly. Different settings are available for each period to create the series. For example, you can create a daily series that schedules an activity every 3 days until the end date, a weekly series every Monday, Tuesday, and Thursday until the end date, or a monthly series on the 2nd Wednesday of odd months, etc. Then select an end date for the series to stop and save it.
At this point, the series is saved per activity and can therefore be reserved per activity. It is possible to change the date of individual activities while they remain part of the series.
As mentioned, it is also possible to allow a series of activities to be reserved. To do this, click on 'Show series details' and select the option 'Book for the entire series' under 'Series type'.
Available patterns and maximum end date
Each pattern has a maximum end date for the series:
| Main pattern | Sub-pattern | Maximum end date | Remark |
|---|---|---|---|
| Daily | Every day | At most one year after the event date | |
| Daily | Every weekday | At most one year after the event date | A weekday is Monday through Friday |
| Weekly | Every X weeks | At most one year after the event date | X = every so many weeks (1 = every week, 2 = every other week) |
| Weekly | Specify days | At most one year after the event date | The days of the week can be specified |
| Monthly | Every X day of the Y month | At most five years after the event date | X = the date in the month, Y = every so many months |
| Monthly | On X day of the Y month | At most five years after the event date | X = the X-th (week)day in the month, Y = every so many months |
| Yearly | Every X day of the Y month | At most five years after the event date | X = the date in the month, Y = the month |
| Yearly | On X day of the Y month | At most five years after the event date | X = the X-th (week)day in the month, Y = the month |
What is created with "Book for the whole series"?
If the event is a recurring event with series type Book for the whole series, a booking creates a parent-child structure: one parent booking for the event type and a child booking per event in the series. Note: this structure is only created when the booking is made from the customer side; this functionality is not available to administrators.
