Overview product settings
This section describes the product settings using examples.
To be able to edit the settings, the 'action_object_editconfig' right must be assigned to the user.
Reservation mode
The reservation mode has to do with the type of product and how it can be reserved.
- Product in time mode, for example a hall, a sloop, etc.
For example, the product can be booked per hour on a specific day. A fixed schedule (series) can also be created at which times bookings can be made. - Product in day mode, for example a house or Bed and Breakfast.
The product can be booked for 1 or more full days/nights - Product in day/time mode.
Same as day mode, but now a specific start and end time can also be entered
- Activity mode. For example, a boat trip. From a product, you can choose an activity for each specific day and time. There are functions to easily create many activities. An activity can be booked by 1 or more reservations, and for each reservation with 1 or more participants.
Main and sub-products
Sub-products can also be created from a product. For example, if you rent out 5 exactly the same boats, and it does not matter to the customer which boat he/she reserves. Then the 'main product' has 5 sub-products, each of which can be reserved.
Standard
The default setting is 'No'.
Order
Order in which products are displayed on the customer page from low to high. For three products, number one is displayed at the top and number three is at the bottom of the overview.
Username required when booking?
Setting | Explanation |
---|---|
Do not create users | - |
Customer can create a username |
When completing the booking, the customer can log in or create a new login/username. A login/username can be done with email/password, or via social media link. |
Customer is required to create a username | Same as above, but with must log in or create login/username. |
The system is creating a username | Customer goes through a booking dialogue and can complete the booking by logging in with an existing username or by logging in via social media or by entering customer details. A username has been created on the customer dashboard. |
Main product
If the product is a main product, this field will be left empty. For sub-products it is indicated here what the main product is. The subproducts have the same settings as the main product.
Distribute method
A distribution method can be specified here when working with sub-products. A distribution method assigns a reservation to a particular subobject according to one of the following methods:
- Random
- First possible number
- Take turns (first booked)
- Equal revenue
- Odd first
- Odd first- Equal revenue
When using a division method, a main booking is split into a parent/child booking. A reservation then consists of at least 2 reservation numbers. The advantage of using a distribution method is that you can adjust the automatically assigned sub object from the management panel.
Owner
Displays the owner (administrator) of the product.
Minumum/Maximum number
How many of the product to be reserved are available? Enter the maximum and possibly the minimum number here.
Min. number/ /Max. number per reservation
This specifies the maximum and minimum number of products that can be reserved per reservation. If the maximum number is not entered, the maximum number of the 'Minimum/Maximum number' setting applies.
Min. number/ Max. participants per booking
The minimum number and maximum number of participants per reservation are specified here. If not filled, the minimum/maximum at participant level is used (see block 'participant detail' on system dashboard when viewing 'object-extra'.)
Waiting list percentage
If a value higher than 100 percent is entered here, a waiting list will be created. This waiting list makes it possible to book more people on an object than there are places availablebe chic. These reservations are given the status of request. The waiting list percentage can be set up to 159%. Always make sure that the waiting list status is "counts for availability" and is set to "yes".
Example
Gym X has various group lessons. Reservations can be made here. Gym X has 15 places available per group lesson. Management notices that reservations are regularly made, but that these people do not come to class.
By setting the percentage to 125, it becomes possible for three people to be put on the waiting list for a group lesson. These people can then be approached to participate in the group lesson. This means that Gym X always has a full complement of group lessons.
Min./Max. time for booking / Max. periods
On this line the minimum and maximum time for a booking can be specified in minutes. The maximum period can also be specified. As an example, we take a product with opening hours from 9:00 AM to 5:00 PM with two periods: 30 minutes and 60 minutes. The max. time for booking setting then offers the option to specify a maximum time of 120 minutes. If the customer selects a start time of 9:00 AM, the customer can make a reservation until 11:00 AM. The periods (time slots) you can choose from are shown as follows:
Time from | Time to |
---|---|
09:00 | 09:30, 10:00, 10:30, 11:00 |
09:30 | 10:00, 10:30, 11:00, 11:30 |
10:00 etc. | 10:30, 11:00, 11:30, 12:00 |
If a maximum period of, for example, two is set, then not four time slots will be displayed, but a maximum of two. The choice for the customer is then as follows:
Time from | Time to |
---|---|
09:00 | 09:30, 10:00 |
09:30 | 10:00, 10:30 |
10:00 etc. | 10:30, 11:00 |
Both settings can be used at the same time. The setting that actually takes the least time is leading.
Example:
Two periods available: 30 minutes and 60 minutes. If a maximum time of 120 minutes and a maximum period of 1 is specified, the maximum time that can be reserved will be 30 minutes since 1x a period of 30 minutes is smaller than 120 minutes.
Time for session
The time needed before and after a reservation in minutes to make the next reservation possible.
Min./Max. number of players
This setting can be used in, for example, the sports sector. The option to search for 'players' by name and add them to a reservation appears in the management panel.
Price and availability at participant level
If this setting is set to 'Yes', this gives the option to set participants in the 'Participant detail' block. For example, a distinction can be made between children and adults. There is also the option to provide personal data for each participant. The 'participant detail' block can be found on the product's system dashboard by choosing the 'Object-Extra' view.
Number leading at participant level
When this setting is set to 'Yes', the 'number of places' of the reservation is equal to the specified number of participants.
Use multiple periods
When using this option, a 'times' button will automatically appear in the booking dialogue that automatically refers to the use of slots. Slots must be set on the confirmation page and it is advisable to set the 'show end time' option to NO in order to show a neat diagram with start times.
Show time at event
If no, the description of the calendar is displayed.
Periods parallel
If no, then the periods run consecutively. If Yes, then the time between the periods is equal to the time specified at Time between start sessions.
Example: You have opening hours from 9am to 5pm and offer periods of 60 minutes. By default, the customer can make a reservation from 9 a.m. to 10 a.m. and from 10 a.m. to 11 a.m. If you want the customer to also be able to make reservations from 9:30 AM to 10:30 AM, set Periods parallel to 'yes'. Time between start sessions is then '30' minutes. If you also want the customer to book from 9:15 AM to 10:15 AM, that time will be '3 PM'.
Time between start sessions
Only applicable if Periods parallel is set to 'Yes'.
Min. / Max. number of extra (!) bookings
This setting allows the administrator and/or customer to make additional reservations recurring weekly at the same time. Here, field 1 represents the minimum number of additional reservations, field 2 represents the maximum number of additional reservations and field 3 represents the number of additional reservations that the administrator can create in the management panel. It is therefore possible to only give the manager the option to make additional bookings or only the customer or both. The largest value of the last two settings is leading. It is not possible to set the number of additional bookings for the administrator lower than for the customer.
Example:
The following values are specified: 0 - 4 - 0. The customer makes a reservation for August 22. The customer now has the option to also make the reservation in the 'confirm reservation details' screen in the 'number of weeks' field up to and including: this week only (August 22), August 29, September 5, September 12. The customer is therefore offered the opportunity to make the reservation for 4 consecutive weeks.
Periods continuous
This setting applies to the 'Time from' and 'Time to' fields in the 'Confirm reservation details' block. If this value is set to 'Yes', periods are automatically calculated for the set opening hours. For example: opening hours are from 09:00 to 17:00 and a period is set to 1 hour. If this setting is set to 'Yes', bookings can be made from 9-10, 10-11, 11-12, etc. If this setting is set to 'No', bookings are possible from 9:00 AM to 5:00 PM.
Bookings possible from / to
Enter the number of days 'from' and 'until' when reservations are possible. If 'from' 0 then reservations are possible today, if 'from' 1 then reservations are possible from tomorrow, etc. The 'up to and including' field is set to 0 by default. This means that customers can reserve up to 120 days in advance, depending on the calendar settings. If work is based on activities, the 'up to and including' setting does not work. There are no limits on activities. Here you can work with a status. The status of the activity then determines whether customers can make reservations.
Calculate per unit of time
This setting only applies to the day mode reservation mode. If this setting is set to Yes, a pick-up and drop-off time will also be saved for every reservation.
Cancel period
Specify the value in minutes until which point, prior to booking, a customer may cancel.
Group periods in detail lines
If time mode, 1 line per day is displayed. If day mode, 1 line is displayed for all periods.
Maximum number of reservations per customer
The maximum number of reservations a user may have open. Setting this value to 0 deactivates this setting.
Maximum number of reservations per customer per time unit
Maximum number of reservations a customer may have open at the same time within the same time unit. Enter 0 if N/A. The setting is mainly used to prevent a customer from making a "double" reservation/registration.
Product deposit
The amount charged as a deposit.
Product deposit type
If this setting is set to 'Yes', the deposit will already be shown to the customer when making the reservation. If this is set to 'No', the deposit will only be shown after a reservation number has been assigned.
Ledger
The general ledger account where the total amount of the reservation should be written.
