Hoe do I setup IMAP?
For the IMAP configuration, you need a mailbox to which it will be linked. It is also advisable to create one or more filters in advance.
Credentials
Credentials are the details required to connect to the external mailbox you want to use. In our example, we will use a Gmail account, but this can of course also be an email address under your own domain.
| Setting | Value |
| IMAP server host | imap.gmail.com |
| IMAP server port | 993 |
| Folder | INBOX |
| Username | booking@gmail.com |
| Password | ******* |
| SSL | YES |
| TSL | NO |
The default IMAP port is 993, which will work in most cases. However, this may differ depending on the provider. Whether SSL and TSL need to be enabled or not also depends on the mail provider. This information can usually be obtained from your hosting provider.
In some cases, two-step verification is used, which requires an additional action.
Make sure that IMAP functionality is enabled in the external mailbox.
Settings
Settings mainly apply to the process of importing email from the external mailbox.
Remove from server
If the external mailbox has limited storage space, you have the option to delete emails from the server immediately after importing. This means that email is handled entirely within i-Reserve.
This option is often used when the external mailbox is not used for other communication and when no archive of imported emails is needed.
Move to ‘imported’ folder
By working with mailbox filters, you can select which emails should be imported. These emails are then moved to the ‘imported’ folder. The rest remains available in the mailbox. Imported emails can be handled through i-Reserve, while non-imported emails can be handled directly in the external mailbox. The advantage is that imported email is always retrievable as an archive in the external mailbox.
This option is often used when the external mailbox is used for other communication and when an archive is needed for imported emails.
Import only new emails and leave a copy
This option imports the email but does not alter anything in the external mailbox. As a result, it will not be clearly visible in the external mailbox which emails have already been imported into i-Reserve. If the mailbox is also used for other communication, imported emails will need to be manually archived or deleted. This increases the risk of duplicate email communication (from i-Reserve and manually from the external mailbox).
This option is often used when the external mailbox is not used for other communication and when an archive is needed for imported emails.
Remove from server, except skipped mail
If the external mailbox is also used for other communication, but you do not want to keep the imported emails, this option can be used. In that case, it is important to set up proper filters so that emails intended for direct communication are not imported into i-Reserve.
This option is often used when the external mailbox is used for other communication but when no archive is needed for imported emails.
The frequency of importing depends on how often emails are received. Normally, importing every 10 minutes is sufficient. Since importing emails can sometimes take a moment, a high import frequency may impact application performance.
Next, select a filter to be used for the import and a mailbox to which this external mailbox should be linked. Activate the IMAP configuration by checking the box in the Active column.
Click the icon at the end of the row to import the emails from this mailbox into i-Reserve.
A new IMAP configuration can be created by using 'add IMAP'
Note: Make sure filters are set up to filter e-mail when the import starts
