Incoming email settings
On Configuration > AI > Incoming email settings you configure the AI that reads incoming email and, where possible, turns it into a booking. This is separate from the chat and phone agent: it is its own AI with its own on/off switch and its own prompt.
| Setting | What it does |
|---|---|
| Email AI active | Must be on before the email AI performs its tasks. |
| Email to process | The email address the AI works on. An environment can have several addresses linked to it; this says which one the AI checks. |
| Specific instructions | The prompt of the email AI. Be careful: prompting is powerful. |
| Template for incomplete | The email sent when the AI cannot find enough information to continue. |
| Template when not possible | The email sent when a booking cannot be created. |
| Booking start status | The status a booking gets when an email is parsed and results in a booking. |
| Check by human | With this on, the booking is created but a member of staff can review it first. Recommended while you are still tuning the email AI. |
Start carefully
Switch Check by human on and pick a start status that does not immediately go out to the customer as confirmed. That way you can watch for a few days what the AI makes of your incoming mail, without a misread message producing a confirmed booking straight away.
