If your organization offers courses, then this guide is for you. While there are many different types of courses — from single-day to multi-day courses, private or group-based — it all starts with creating what’s called a course type.

A course type is an overarching object under which various courses fall. A good example of a course type is "First Aid (EHBO)" with courses such as "Basic First Aid Course", "First Aid Refresher Course", "CPR and AED", and/or "First Aid for Babies and Children".

A course type can only be created by an administrator. To create a course type, go to “Configuration – Objects” – “Admin Coursetypes”. On this page, you will find a blue button in the top right corner labeled “Add New Course Type”.

Give the new course type a unique name and a description. Then indicate that the new course type is of the option “Standard course type based on event mode. Courses are usually scheduled for multiple participants.”

Enter a default price; this value will not be used for the courses themselves. A price can be manually specified for each individual course.

Specify which participants are allowed to book a course. Depending on the industry and the type of course, you can choose options such as “Individuals”, “Adults”, “Children aged 16 and above”, “Children under 16”, “Students”, “Dogs”, “Toddlers”, “Babies”, etc.

Also indicate, per participant type, how many may register per reservation — including the minimum, maximum, and total. This is separate from the total number of participants allowed for the course itself and applies specifically to each individual reservation made.

For example, a reservation might require at least 1 adult and allow up to 3 children. Meanwhile, the course itself might allow a total of 25 participants, spread across multiple reservations.

The options “Participant calctotal” and “conversion” affect how many spots are deducted from the course capacity. For instance, if there are 25 available spots and you want to track how many people attend but babies are free, then the participant type “babies” would not count towards availability.

In some cases, participants in a wheelchair may occupy more space, resulting in fewer seats being available. The conversion rate for a participant in a wheelchair could then be set to 2. In this case, 2 of the 25 available spots would automatically be deducted.

Save the information to complete the creation of the course type.

You can now create courses under this course type.
