Have a report emailed automatically
Every report can mail itself on a schedule: the weekly overview in your mailbox at 08:00 on Monday, without anyone logging in. You set this per report, in the same screen as the other settings.
Setting it up
- Go to Reports > Views > Manage reports and click Settings behind the report.
- Scroll to the Scheduled email block at the bottom of the dialog.
- Switch Enabled on.
- Choose a Frequency: Daily, Weekly or Monthly (the 1st).
- Choose Day of the week and Time for when the mail goes out. With a daily or monthly frequency the weekday does nothing.
- Choose a Format: Excel, CSV or PDF.
- Fill in one or more addresses under Recipients.
- Click Save.
What gets sent
At the chosen moment the report runs in the background with its settings and its saved search, and is mailed as an attachment. A PDF also contains the chart; Excel and CSV contain the table values only, without the comparison line under the cells.
Good to know
- The background task runs every fifteen minutes. The mail therefore leaves within the chosen hour, not exactly on the minute.
- Monthly means: on the 1st of the month.
- Per report it is recorded whether it was already sent this hour, so you never get the same mail twice.
- Sending uses your environment's email settings. If email is switched off for the licence, nothing goes out.
- The report runs as the owner of the report. What that person may not see is not in the mail either.
