Report settings
Every report has its own set of settings. You open them through Reports > Views > Manage reports and then the Settings button behind the report. Which settings you see depends on the report type: a revenue report asks for a price field, a no-show report for a no-show status. Each setting has an info icon with the same explanation as below.
Settings determine how the report calculates. What it calculates over — which period, which products — you set per run with the search bar above the report itself.
Settings that (nearly) every report has
| Setting | What it does |
|---|---|
| Context | The data the report calculates over. For Revenue you choose between bookings and invoices, for instance; that also changes on which date the revenue counts. |
| Group by | Whether each column is a day, a week or a month. The column headers follow (14-8, W35, 09-2026). |
| Comparison | Shows a comparison value under each cell: the period directly before, or the same period last year, with a coloured difference percentage. Off by default. |
| Chart type | The chart above the table: a line chart or — for Numbers — a heatmap. |
| Date basis | Booking date: the moment the booking was made. Visit date: the date the visit takes place. This decides which column a booking lands in and answers most "why is this number wrong" questions. |
| Metric | What each cell counts: bookings, persons or revenue. |
| Count field | For Numbers: what is counted, for example the number of bookings, products, participants or players. |
| Price field | For Revenue: which amount is counted — total price, price without options, total VAT, total of options, total discount given or the amount paid. |
Settings for a specific report
| Report | Extra settings |
|---|---|
| No-shows & cancellations | Late = within (days): a cancellation counts as late when it happens within this number of days before the visit date. No-show status: the booking status that marks a no-show. The bundled status 71 is inactive out of the box; activate it in your statuses first, or the no-show column stays empty. |
| On the books | Horizon: how far ahead the report looks — bookings with a visit date in the coming 30, 60 or 90 days. |
| Customer origin | Dimension: group by country or by the first 2 characters of the postal code. |
Saving
Click Save at the bottom of the dialog. The settings belong to the report, not to you personally: everyone the report is shared with sees the same calculation.
The same dialog carries a Scheduled email block at the bottom: see Have a report emailed automatically. An overview of all report types is in Which report type should I choose?.
Who may set this?
The Manage reports screen — and therefore the settings too — requires the right report_manage_report.
