This section only applies if the module Export is active.

On an invoice, the Bexio button does not just show whether it has been synchronised: it shows line by line how the invoice in i-Reserve compares to the invoice in Bexio. That way you see where the difference is before you push anything — and you can update a single line instead of the whole invoice.

Where to find it

  1. Open the invoice (or the customer) in i-Reserve.
  2. Click the Bexio button in the action block.
  3. The dialog shows the external id, the status of the invoice in Bexio and the line comparison.

The columns

Below the table you find the totals of both sides, so you can see at a glance whether the invoice adds up as a whole.

How lines are matched

i-Reserve lines the rows up on the basis of the description. If the descriptions are identical, quantity and subtotal are compared (the subtotal with a one-cent margin, so rounding does not create a false difference). If a line is left over on one side, it gets the status "i-Reserve only" or "Bexio only".

Worth knowing: if you change the description of a line after the invoice is already in Bexio, i-Reserve sees two separate lines — not one line that differs.

Statuses and buttons

In Bexio an update is always "delete and recreate", so the line id in Bexio changes. For the invoice itself that makes no difference.

Finalised invoices in Bexio

Above the table you see the status of the invoice in Bexio: draft, open, paid, partially paid or cancelled. As soon as the invoice is no longer a draft it is final in Bexio: the buttons disappear and the table is only a comparison. To change something after that, do it in Bexio itself — with a credit note, for example.

On a customer

In the customer context the same dialog shows a field comparison: per linked field, the value in i-Reserve next to the value in the Bexio contact. That way you immediately see whether the contact in Bexio has been updated and which field still deviates.

Common causes of a difference

  • Price or quantity was changed in i-Reserve after the invoice had already been pushed.
  • The description of the line was edited — that produces two lines instead of "different".
  • A line was added or changed manually in Bexio; it shows up as "Bexio only".
  • A line has a VAT rate without a mapping; pushing then fails with a message about the VAT code. See Setting up Bexio: OAuth, contacts and invoices.

Checklist

  • ☐ The totals below the table match on both sides.
  • ☐ No remaining "different" or "Bexio only" lines that you cannot explain.
  • ☐ The invoice status in Bexio is what you expect (draft versus final).
  • ☐ When in doubt: check the integration log (How do I check what an integration has done?).

Lines are matched on description. If you change a line's description after the invoice is already in Bexio, you will see two lines ("i-Reserve only" and "Bexio only") instead of one difference.

Once the invoice in Bexio is no longer a draft the buttons disappear: it is final there and can only be adjusted in Bexio itself.
