If you need to change the status of many events at once — for example to cancel an entire series — you do not do this event by event, but with a bulk action on a filter. First you build a filter that selects exactly the events you want to change, and then you apply the status change to it in rounds of up to 250 events.

Requirements

Step 1: build the filter

The bulk action works on the results of your filter. Whatever is not in your filter will not be changed — and vice versa. Go to Events > Search and filter on:

  • the product whose events you want to change;
  • the date range (from/to);
  • the current status, so that events that are already correct stay out of your selection.

Filtering on the current status matters more than it seems: if you do, processed events drop out of the result and the count tells you how far along you are. If you leave the status open, the count stays the same and after a few rounds you no longer know what you have already done.

Make a note of the number of results. That is your workload. Then save the filter (see Saving a filter) so you can recall it with a single click for every round.

Step 2: perform the status change

  1. Click the three vertical dots at the top right and choose Bulk action.
  2. Click the check mark in the header row of the first column. Up to 250 events per round are selected.
  3. Click Next.
  4. Under 'Select an action', choose Change event status and click Next.
  5. Choose the target status, for example 70 Cancelled, and click Next.
  6. In the confirmation screen, check the list of events that are about to be changed.
  7. Click Execute.
  8. A message appears at the bottom right telling you the task has been completed. Click Seen and close.

Step 3: verify and repeat

Click the blue search button to refresh the filter result. The number of results should now have dropped by the number of events you processed — that is your proof that the bulk action went through. If the number stays the same, check whether your target status falls outside your filter (step 1).

Repeat steps 2 and 3 until the filter returns no more results. For 1,000 events that is four rounds.

Please note: a status change does not correct prices

A bulk action only changes the status, not the price. Prices are fixed at the moment an event is created: a change in the price scheme does not apply retroactively to events that already exist. If you want to correct an incorrect price for an existing series, first cancel the events using the steps above and then create them again with the correct price. Keep to that order, so that no duplicate availability arises. See How do I create a serie of events?

The steps are the same, only the entry point differs: use Views > Bulk change instead of the three vertical dots, and Events > Manage filters to open a saved filter.
