This section only applies if the module Punch card is active.

On the same screen as the refund tiers (Configuration > Cancellation refund tiers, section Punch card credit on cancellation) you decide what happens to the credit when a booking paid with a punch card is cancelled. This section only appears when the punch card module is active in your licence.

Why this setting exists

Until recently punch card credit was always returned in full on a cancellation, whatever the timing. A customer who cancelled on the day kept their session, while a customer who paid by iDEAL or credit card could lose 100% according to the tier schedule. With this setting the credit follows the same policy decision as the money.

Credit returned on cancellation

The setting Credit returned on cancellation offers three choices:

  • Always the full credit (default) — the whole credit goes back onto the card, exactly as it always worked. Anyone who never opens this setting sees no difference.
  • Follow the cancellation schedule — i-Reserve asks the same schedule for a percentage as it does for a money refund, and returns that share of the credit.
  • Nothing, the credit is spent — the session is used up, whatever the timing.

The choice is licence-wide, so it applies to every punch card type and every object at once.

Rounding of whole sessions

A punch card type with the calculation method By price keeps a balance: there the percentage is simply returned to the cent. A card that counts whole reservations or periods cannot give half of one back. The setting Rounding of whole sessions decides what a percentage means for those:

  • To the nearest whole session (default).
  • Up, in the customer's favour — any refund above 0% returns the session.
  • Down, only a full refund returns the session.

Example
A customer cancels 30 hours before the start; at that moment the schedule returns 50%. On a card with a balance of € 20.00 from which € 5.00 was deducted, € 2.50 comes back. On a card that counts reservations it comes down to half a session: rounded up the session returns, rounded down it is spent, and rounding to the nearest whole session returns it as well.

No match in the schedule? Then everything comes back

If the schedule cannot quote a percentage — because no rule covers this moment, or because the object is excluded from the automatic calculation — the full credit is returned anyway. A gap in your settings should never cost your customer their session. The booking's history then states why that fallback was applied.

Only on cancellation, not on a no-show or a deletion

This policy applies only when a booking lands on your licence's cancellation status. If the booking moves to another non-occupying status — no-show, deleted, or your own workflow status — the credit is returned in full unconditionally, as it always was. The schedule is written in terms of "how long before the start was it cancelled" and says nothing about those other cases.

Traceable in the booking's history

On every cancellation of a punch card booking, i-Reserve records in the booking's history what had been taken off the card, how much of that came back, and on what grounds: the applied percentage and — when it was not a plain schedule match — the reason. That way you can retell it to your customer. The card itself additionally keeps its own balance change.
